Receive Current vs. Mark as Received vs. Mark as Closed

One of the most frequently raised queries revolves around the intricate differences between 'Receive Current', 'Mark as Received', and 'Mark as Closed'. When managing consignments on the Hopstack platform, understanding the specific functions and their implications is crucial.

This guide breaks down the three critical forced completion functions: 'Receive Current', 'Mark as Received', and 'Mark as Closed'.


1. Receive Current

Purpose:

  • The 'Receive Current' function is used when the received items in a consignment are less than what was expected. It's like saying, "We were supposed to get 100 items, but I only got 85. I will use these 85 and proceed with my next steps, be it proceeding with dropship order creation or simply adding them to storage."

Usage Scenario:

  • This is typically used in scenarios of under-receiving, where the received quantity is less than the expected quantity for a given consignment.

  • This may also be used to deal with products that were damaged on arrival but do not need to be added to the system in damaged inventory.

Implications:

  • The system recognizes the state of the current consignment as complete based on the items you've currently received.

  • This means that any additional items arriving later for this consignment will have to be managed under a separate consignment.


2. Mark as Received

Purpose:

  • ‘Mark as Received' is for cases where you receive the consignment in its entirety, as it is, with no over or under-receiving scenarios. It's akin to saying, "I know I was supposed to get 100 items and I have received all of them. Let’s update the system with all 100 items and proceed with dropship order creation or simply add them to storage."

Usage Scenario:

  • If you don't want to go through individual receiving and putaway for every item, you can use 'Mark as Received' to update the system in one go.

Implications:

  • This action updates the status of all items as received in one action and adds them to the inventory.

  • It avoids the need for step-by-step inventory updates and is more suited for situations where bulk updating is more efficient.


3. Mark as Closed

Purpose:

  • 'Mark as Closed' is utilized when you've decided to finalize the state of the consignment with the items currently on hand. It signals to the system that you've completed all required actions for this specific consignment and do not want to take any further actions.

Usage Scenario:

  • If you decide that no further items will be added or actions are taken on a particular consignment, even if the received items are less than expected, you can use 'Mark as Closed'.

Implications:

  • Once marked as closed, the system will only recognize the items that have been recorded for that consignment.

  • This effectively "closes" the consignment and no further actions can be taken on it.

  • If this was a dropship consignment, then NO dropship order will be created for it.

  • If this was a normal consignment, then whatever items were received will remain as is. No further receiving will be allowed. Any items that were received successfully may undergo putaway.
